This is one of the most common questions we get from small business owners setting up or upgrading their IT infrastructure. Both Microsoft 365 and Google Workspace are mature, capable platforms. Neither is objectively better — the right choice depends on your specific situation.
Microsoft 365: Best For
Teams that rely heavily on Office applications. If your team lives in Excel, Word, and PowerPoint, Microsoft 365 is the natural choice. The desktop applications are more powerful than their Google equivalents, particularly for complex spreadsheets and documents.
Businesses in regulated industries. Microsoft has deeper compliance certifications and more granular security controls, which matters for finance, legal, and healthcare businesses.
Windows-heavy environments. If your team uses Windows PCs, Microsoft 365 integrates more seamlessly with the operating system.
Google Workspace: Best For
Teams that collaborate in real time. Google Docs, Sheets, and Slides are built for simultaneous editing. If your team frequently works on documents together, the experience is smoother than Microsoft's equivalent.
Remote or distributed teams. Everything is browser-based, which means no installation, no version conflicts, and access from any device.
Businesses that want simplicity. Google Workspace is easier to set up and manage, particularly for small teams without dedicated IT support.
The Honest Answer
For most SMEs, either platform will work fine. The more important question is: what does your team already know? Switching platforms has a real productivity cost during the transition. If your team is comfortable with one, the bar for switching should be high.
If you're starting fresh, we generally recommend Google Workspace for teams under 20 people and Microsoft 365 for teams that need advanced Excel functionality or operate in regulated industries.
